#ClioTraining Tip: Adding Clio Search to Chrome’s Omnibox

 

Chrome’s Omnibox is a great way to quickly search for information in Google or any number of other search engines – including Clio’s global search! First, you need to add Clio to the omnibox:

  1. Click on the Settings Icon in the top right corner of your Chrome window.
  2. Choose “Settings” from the drop-down menu.
  3. Click the “Manage search engines…” button.
  4. Scroll down to the “Other search engines” section.
  5. Copy and paste the following into the appropriate boxes (without the quotation marks):

That’s it! Now, to search Clio from the Omnibox, just type “clio” and then your search term.

#ClioTraining Tip: Improve the Security of your Account by Enabling Two-Factor Authentication

All Clio accounts have to ability to add an additional layer of protection by enabling a powerful security feature known as Two-Factor Authentication.  Two-Factor Authentication protects your user account by requiring users enter an additional credentials when logging into Clio.  This is especially valuable if your Clio account is used away from the office.

Why enable Two-Factor Authentication?

Two-Factor Authentication drastically reduces the likelihood of a third party being able to gain access your Clio account. Why? In order to gain access to your Clio account a user requires access to an approved email address in addition to your Clio username and password.  If the user does not have any of the 3 requirements access is not granted

Sounds great! how do I turn it on?

First things first – you need to be an account administrator.  If you do not see the option to enable Two-Factor Authentication please check with your account owner.

Simply select choose Settings from the dropdown menu next to the global search and go to the option “Two-Factor Authentication Setup”

First Enable Two-Factor Authentication.

There are 2 options for sensitivity.  Please select the one appropriate to your needs.

Clio will require a unique authentication code with each login

Clio will only ask when a new IP address is detected.  This would allow a user to use Clio without the additional prompting   while in the office, but enforce the higher standard when working from home or traveling

What’s next?

Each user will need to determine their own delivery method.  All users will be required to turn on Two-Factor Authentication and will be given the opportunity to select additional emails accounts.

To set the delivery Method goto settings by clicking on your name, and browse to “Two-Factor Delivery Methods:”

Click “Edit” and enable delivery.

#ClioTraining Tip: Setting Up Reminders For Multiple Users

By default you have the option to set reminders for Calendar Events and Tasks. These can either appear as a pop-up within your account, or as an Email reminder to the address you used to sign up with Clio.

But what if you wish to use an alternative E-mail or have reminder notifications sent to other Clio users in the account? Additional Emails can receive reminders by clicking your name at the top of the screen and going to  Settings> Personal> Reminders> Add

Once you have typed in the desired Email address, click next and a verification code will be sent to that address. The final step is to verify the new Email address; instructions can be found in step 4 of the Calendar Reminders support article.

The new Email address will now show up in the reminders picklist when creating a Calendar Event or Task. Add multiple reminders to other users’ Emails to notify the firm of an upcoming event.

#ClioTraining Tip: Applying Primary and Secondary Tax To Your Activities and Expenses

Have you ever wondered how to apply a different tax rate from Services to Expenses?  You may be practicing in an area where there is a need for a secondary tax rate.  

To View or Edit what your Tax rates are set to, Click on the “Bills” tab and then the “Settings” sub-tab.

You will want to ensure the checkbox for “Apply Secondary Tax” is selected to enable the second tax.

Once you have verified your Tax rates, there are a couple options in applying the Tax to the Activity or Expense.  

     1. When you Generate the Bill, there is an option in the New Bill Settings pop-up that allows you to apply the taxes directly to the Bill.

     2. Alternatively, you can apply the tax directly to the line item when editing the Bill.  This will allow you to select a specific tax for that line item.  This is especially useful if you apply both the first and second tax to services, and only the second tax for expenses.  Once the Bill has been generated, use the Edit option and select the appropriate tax for each line item.

You can also have the total with tax shown in the bill by changing some of your Bill Theme settings.  You can have the line item show the total of the activity or expense including the tax.

#ClioTraining Tip: Adding New Users to Your Growing Firm

Is your firm growing?  Congratulations!

A growing firm is likely going to want to add new Clio users. To do this, simply go to “Settings” and “Users”, then click “Add” and enter the user’s email address and an optional custom message. Once you click “Save,” an email will be sent to that user inviting them to join your account.

Once the user has been created you will see the user in the “Users” screen.  To ensure the user’s subscriber type and permissions are set correctly, click on the “Edit” icon to the right of the user. Here you can set the subscriber type, and the areas of Clio that the user is entitled to access:

You may also want to ensure that everyone in your office can access your new employee’s calendar by having them share it. To do this,  go to the “Calendar” tab followed-by “Sharing,” then click on the “Share Calendar” link, and select the users you wish to share with and their desired permission level.

Unfortunately staff members sometimes leave the organization. To ensure that client confidentiality is preserved, you can disable a user within Clio by clicking on the “Disable” icon (person with X) to the right of the user you wish to block from accessing your Clio account.  Once a user has been disabled they will no longer have access to the account, the information they have entered will remain within the account and you will not longer be billed for that user.

If for some reason you need to re-enable a disabled user simply click on the “More” button, select “Show enabled and disabled” and click the “Enable” icon (person with +) to the right of the user.

#ClioTraining Tip: Using Clio’s Quick-Start Timers to Accurately Capture Time

time-keepingKeeping track of time when you’re busy is now even easier with Clio’s “quick-start” timer. You can use Clio’s “quick start” timer to start timers on the fly without entering matter or description information.

Let’s say you are running into a meeting, or your client calls and you want to capture the time accurately but you are in a hurry. No problem. You can access Clio’s “quick-start” timer while in any tab in Clio. Just look for “Timekeeping” on the right-hand side.

 To start a timer, hover over “No timer running” and click to bring up the Timekeeper box.

In the Timekeeper box, click on the “+” symbol to start your timer.

It’s that easy! Your timer is running and you are in your meeting.

Once your meetingis over you can then go and edit your time entry to add in your matter and description details.

 To edit the time entry, click the edit icon.

Now you can enter in the details of the time entry and click Update Time Entry. Your new time entry is ready to be billed.

Using Clio’s “quick-start” timers gives you the ability to always capture billable time accurately.

#ClioTraining Tip: Working with Email Addresses

Changing your email address? No problem. Here is a guide to make sure you update everything you need in Clio for a seamless transition.  

Update Email Address

Since Clio is a cloud-based application, your email address is the key to getting information in and out of the system. To update this email address, click the “Your Information” icon under Settings:

Once you’ve updated your Primary Email, you also need to update any of the reminders you previously set up.  Although this task may seem daunting, it is extremely important if you no longer have access to the old email.  If you still have access to your old email address then updating reminders is up to you, although we do recommend switching the reminders so everything consistant.

Using Multiple Email Addresses with Clio

If you want to add an additional email address from which you’d like Clio to receive emails, you can simply add your new email address to your Maildrop email aliases list. Doing so allows you to send emails from both your login email and the new email address. To add another email address, do the following:

 You can add as many email aliases as you like, as there is no limit!
