#cliotraining Tip: Move around Clio Quickly with Tabbed Browsing

Chances are, you use tabbed browsing already. You have your browser window open, and you may have a few websites open in that one window, like your Web-based email, a news site like CNN and perhaps your RSS reader. Tabbed browsing simply lets you open multiple websites in one browser window.

You can use tabbed browsing with Clio, too, so you can quickly move from one area to another and not have to back track.

So, for example, say you use Matters and Calendar ever day but are tired of having to move away from one to view the other only to go back again. Using tabbed browsing, you can keep both open at the same time, and simply click between the two tabs. This also helps keep the information in front of you.

To do this, first log into Clio. Then hover over the Calendar tab and “right click” to show a list of options. Select “Open in New Tab” and the Calendar will open next to your Clio start page.

Do the same for Matters, and you’ll see tabs similar to this:

Now you can easily access your Calendar and your Matters without having to move away from one to access the other. And if you use other aspects of Clio on a regular basis, you can repeat the steps to open those items in  other tabs, too.

#cliotraining Tip: Exporting Information

From time to time, exporting information is helpful. Maybe you perform your own backup as an extra precaution. Maybe you’re closing items out and want to see a complete list. Whatever the reason, we have a simple way to export your Clio information.

To start, log into you Clio account and go to: https://apps.goclio.com/export

You’ll see a screen like this:


You’ll see a list of items, like your Calendar, Tasks, Matters and so on. And you’ll also see corresponding links. To export information, simply click the corresponding link.

So, as an example, to export Matters, click the “Excel ready CSV” link across from it. A .csv file, or comma separated value file, will download to your machine. You can then open the file using Microsoft Excel, or another spreadsheet application, and see all of your Matters.

And to export another item, just click the appropriate link.

2010 Apple in Law Firms Survey Results

The results of our inaugural Apple in Law Firms Survey are in, and we’re excited to share the complete results here. Before we get underway, we’d like to announce the winner of the iPad giveaway: Holly Wilcox of Castle Rock, CO. Congratulations Holly, and thanks to everyone who participated in the survey.

The survey received 835 responses, and gave a useful sampling of responses across law firms of all sizes as well as from law students.

MILOfest Wrapup and Clio Meetup Pics #MILOfest #cliomeetup

This past weekend we were at #MILOfest (Macs in Law Offices), and we wanted to take a minute and thank Victor Medina who put on another excellent conference.

It was a pleasure to be part of the conference, both as a vendor and a speaker.Our President and co-founder, Jack Newton, revealed some of our Apple in Law Firms Survey results (look for the full results later today), and presented on “Putting Your Law Practice in the Clouds,” which involved a demonstration of purchasing a domain name and setting up Google Apps for Your Domain as well as some tips on using Dropbox, Clio, and other cloud-based apps.

Clio Apple in Law Firms Survey: Last Chance to Participate and Possibly Win an iPad

Vancouver, BC – November 9, 2010 The inaugural Clio Apple in Law Firms Survey closes today, Tuesday, November 9th at 5pm Eastern.  All legal professionals and law students from all law firms and law schools are invited to participate in the survey, regardless of size and location. The survey aims to determine to what extent lawyers and law students are now using Apple and Mac products, and whether there is clear evidence of an increasing trend of the legal industry “going Mac” in the future.

The survey is available online at http://macsurvey.questionpro.com/ Clio will be giving away a free iPad to a randomly selected survey respondent. The tabulated results will be presented by Clio President Jack Newton at MILOfest (www.milofest.com), a conference for Mac-using attorneys being held on November 11-13 at the Disney World Coronado Springs Resort in Orlando, FL.

The Clio Apple in Law Firms Survey will probe into areas such as:

  • Extent of lawyers’ current or intended migration to Macs or Apple products
  • Operating System Choice: Mac vs. Windows OS
  • Mobile device preferences: iPhone vs. Blackberry vs. Droid and others
  • Plans to purchase iPads and other Apple/Mac hardware and software in 2011
  • Cloud-based vs. desktop application usage in the law office
  • Satisfaction with Apple products

Apple products appear to be enjoying a larger adoption rate in the legal space, and this survey aims to quantify and build a more accurate picture of the shift to Macs in law firms.

The ABA Legal Technology Surveys have shown an increase in Mac usage among law firms in the past years, most recently tracking an uptick to 4% in 2010 from 3% in 2009.  Newton says, “We’ve seen a slow but steady increase in the usage of Macs in law offices over the past few years, and many feel that we are at or approaching a tipping point. At Clio we’ve seen a huge number of firms choosing to go Mac, and our hope for this survey is to better quantify and chart the trend toward the use of Macs in law offices. We look forward to announcing and publishing the results of this survey at MILOfest.”

#cliotraining Tuesday Tip: Finding Non-Mattered Email

It happens. You send an email regarding something for follow up, but forget to attach it to the appropriate Matter. A few days later, you’re searching for it to follow up and can’t find it under the appropriate Matter. There is a moment of panic as you look again, thinking you just missed it, but you still can’t find it.

Don’t panic!

Instead, check Global Communications Repository of your account: https://app.goclio.com/communications

All communications, tagged to a Matter or not, are there, so all you have to do is look for the one you need. You can either scan the list, which might be long, or use the “Search” function under the “More” button. Remember the “More” button? We discussed it last week as way to help find specific bills faster, but the function exists through Clio. You can use the “Search” function under the “More”  button to find communications faster.

Take Aways from MyShingle ABA Ethics 20/20 Teleseminar

Yesterday, Carolyn Elefant of MyShingle hosted a teleseminar to review and discuss two white papers published by the ABA Ethics 20/20 Commission. The first white paper, “Issue Paper Concerning Lawyers’ Use of Internet Based Client Development” (PDF), refers to tools such as social media and pay-per-click campaigns. The second paper, “Client Confidentiality & Lawyers’ Use of Technology” (PDF) refers to cloud-computing tools.

She provided a nice summary of the Commission, and the two white papers. She also raised some concerns, such as:

  • Clients aren’t mentioned in either white paper. She noted that clients increasingly want access to information about their cases, something that cloud-computing applications offer, and that there currently is no documented accounts of clients who have been mislead online. She also pointed out that the white papers were more lawyer-driven, more theoretical, and without data on client demands and clients having been misled, we are not getting a complete picture.
  • Those making, or suggesting, rules are not playing the game. They are not blogging, tweeting or actively engaging in these tools and thus may not have a good understanding of their uses. She points out that, by using the tools, things become apparent that otherwise go unnoticed.

One of the more interesting observations she made is that some of the proposals will micro-manage lawyers. She stated that today, we live in a fast-paced world, and since lawyers use discretion each day to advise clients, they should be able to use that same discretion to advise themselves.

Some other take-aways:

  • Uniform standards are needed for websites and social media use. Patchwork of rules creates confusion for lawyers as well as clients and consumers. Also important to note that technology removes barriers. A website for a firm in Delaware can be viewed by a consumer in Nevada.
  • Have best practices instead of amending rules. Best practices will encourage competition.
  • Cloud-computing as outsourcing sets dangerous precedent. Imposes obligations beyond what is necessary to maintain client confidentiality.
  • Have Best Practice for lawyers who conduct more due diligence and/or are more tech savvy, and a vendor certification program for lawyers who want technology tools to be OK’d right out of the box.

#cliotraining Tuesday Tip: The ‘More’ Tab in Billing

Today’s training webinar is Billing: Beyond the Basics, and our tip is: Use the “More” tab in the Open and Billing History screens to quickly find the bill you need.

The “More” button is found on every page, and is particularly useful for Billing. Whether you’re trying to find a specific Open bill, or tracking down an old one because a client has a question, the “More” button makes it easy to find exactly which bill you need.

The “More” button is located on the right-hand side of the Billing screen:

Click the “More” button to display search features:

Now, instead of scrolling through a long list of Bills, you can just search for the specific Bill you need. When you’re done, you can click the button again, which now says “Less,” and the search functions disappear. Give it a try, and tell us what you think.
